POSITION OVERVIEW

As a member in the Account Services team, the Project Administrator will report to the Account Services, Manager. The project administrator is primarily responsible for supporting the account services team with events and projects to include travel arrangements, updating Salesforce, Outlook calendars, and arranging shipments for clients.  This role requires a highly motivated and detailed-oriented individual with strong organizational skills. He/she must demonstrate a high level of interpersonal skills along with excellent communication skills, written and verbal.

JOB REQUIREMENTS/PRIMARY RESPONSIBILITIES

  • Coordinates travel arrangements (flight, hotel and ground transportation) with Project Coordinators and outside travel agency
  • Cross-checks information in MPM and Outlook calendars for Field Team to ensure alignment; communicates potential conflicts to Project Coordinator and Account Manager
  • Fulfills web orders
  • Enters and manages data in Salesforce.com for client orders
  • Creates shipments and tracks to completion including following up with clients and updating Salesforce.com
  • Communicates and coordinates all shipping issues with the appropriate stakeholders and works to resolve
  • Sends marketing material via mail/email to prospecting (and existing clients) as directed by Account Manager
  • Ships updated materials to clients as directed by Account Managers
  • Assists with scheduling calls as needed
  • Coordinates with Project Coordinator to enter contacts into Salesforce.com
  • Stays on top of curriculum updates
  • Updates Salesforce for weekly reports
  • Assists Account Services Manager with Salesforce.com clean up and reports as needed
  • Acts as back-up for Receptionist by taking calls
  • Assists Assessments Team as needed
  • Becomes certified in all 3 tracks of PILtools within first year
  • Assists Project Coordinators and Account Managers with projects as needed

  • High level of interpersonal skills with demonstrated poise, tact and diplomacy
  • Excellent communication skills, written and verbal, with the ability to clearly communicate issues
  • Knowledge and ability to use applicable information technology and systems to meet work needs

EDUCATION/EXPERIENCE

  •  High school diploma, GED, or equivalent experience
  • Proficient in Microsoft Office Suite
  • 1 year of prior administrative experience, preferred
  • Prior experience with CRM, preferred
